1. Who owns your WhatsApp Business Account?

This is the single most important question, and it is easy to miss during a demo.

When you connect WhatsApp, your WhatsApp Business Account (WABA) is the asset: your number, your quality rating, your message history, your template library. On some platforms the WABA is effectively held under the vendor's umbrella, which means leaving is painful and your number's reputation is not fully portable.

Ask directly: if I cancel, do I keep my WABA and can I move it cleanly to another provider? If the answer is vague, treat that as a red flag. The healthy model is that you bring or own your WABA and can walk away with it.

2. How are you billed for messages?

WhatsApp conversations are charged by Meta. The question for any platform is whether it adds a markup on top of Meta's rate, or passes Meta's charges through untouched.

Per-message markups are easy to underestimate. A small margin per conversation looks trivial on a pricing page and turns into a large, variable line item at volume, on top of your subscription. When you compare alternatives, separate the two costs: the platform fee (what the software costs) and the message cost (what Meta charges). A platform that marks up messages is charging you twice for the same send.

The cleaner model is a flat platform fee with zero message markup, where Meta bills your conversations directly to your own account and the vendor never sits in the middle of that meter.

3. Can you bring your own AI?

AI features are now standard marketing on every platform in this space. What varies enormously is whose AI, and who pays for it.

Some tools bundle AI as a metered add-on with their own margin baked in. Others let you connect your own model provider keys (OpenAI, OpenRouter, a self-hosted model) so you pay the AI provider directly at cost and keep full control of the model, the prompts, and the data. If AI is central to your plans, bring-your-own-model (BYOLLM) is both cheaper at scale and far more flexible, because you are not locked to one vendor's model choices or their markup.

4. What does the pricing model actually reward?

Look at how a plan scales, not just the entry price.

  • Per-seat pricing punishes you for adding teammates. For a growing support team, that adds up fast.
  • Per-contact tiers punish you for growing your audience, which is the whole point of the tool.
  • Per-message markups punish you for sending, which is also the whole point.

Flat pricing with generous or unlimited contacts changes the incentive: growing your team, your list, and your volume does not keep re-pricing you upward. Model your real 12-month numbers into each pricing page before you decide. The cheapest starting tier is often not the cheapest at your actual scale.

5. How hard is it to leave?

Every point above is really a question about lock-in. Can you export your contacts and conversation history in a usable format? Do you keep your WABA and number reputation? Are your automations portable in concept even if not in file format? A platform confident in its product makes leaving easy, because it is not relying on switching costs to keep you.
